Notes: Messaging the Lender About an Assignment

The Notes section on an assignment is your direct line to the lender client. Messages sent there are integrated into the lender's own system, so they reach the person handling the order rather than a general inbox.

Where to find Notes

Open the assignment and use the Notes section on the assignment details page. Anything you write there goes to the lender.

When to add a note

Add a note whenever something about the assignment needs the lender. For example:

  • You have a question about the report or about what the order is asking for.
  • You need files from the lender in order to complete the report.
  • You cannot reach the contact to schedule the inspection.
  • You need the due date moved.
  • You need the assignment placed on hold — see Assignment on hold.
  • You have an issue with payment on the assignment.
  • The report type on the order is wrong, or the FHA case number does not match your report — see Report Validation Warnings.
  • A revision was added with the wrong due date, or by mistake.

Mark it Urgent when you need help

Marking a note as Urgent is how you ask for assistance. The lender will assist as soon as possible.

If a note is not marked urgent, the lender will only respond if they have questions of their own or spot an issue. So if you are waiting on an answer, a file, or a decision before you can move forward, mark the note as urgent — otherwise it may simply be read and left.

What to put in the note

Be specific enough that the lender can act without writing back:

  • What you need, in one line.
  • The reason — for example, "Borrower requested to reschedule inspection," or "Awaiting documents from broker."

When to use a note, and when to contact support

  • Assignment- or report-specific questions — use a note on the assignment. Dwelling Blocks is not an Appraisal Management Company and cannot make decisions about a report or an order.
  • Technical or platform problems, profile updates, feature suggestions — use Get Support or email support@dwellingblocks.com.
